Terms of Service

These Terms of Service (“Terms”) form an agreement between PatrolOS (“PatrolOS”, “we”, “us”) and the company or individual that creates an account or subscribes to the PatrolOS platform (“Customer”, “you”). By creating an account, subscribing, or using the platform you accept these Terms.
1. The service
PatrolOS is a hosted software platform for security operations: officer scheduling and time tracking, patrols and checkpoints, incident reporting, dispatching, and client reporting. We provide the software; we do not provide security guard services, monitoring services, emergency response, or alarm dispatch of any kind.
2. Accounts and eligibility
- You must be at least 18 years old and authorized to bind your organization.
- You are responsible for the accuracy of account information and for all activity under your accounts.
- You must keep credentials confidential and notify us promptly of suspected unauthorized access.
- You are responsible for the users you invite (officers, dispatchers, supervisors, clients) and for their compliance with these Terms.
3. Subscriptions, billing, and taxes
- Plans are sold as flat monthly company subscriptions at the prices shown on our pricing page at the time of purchase.
- Payments are processed by Stripe. We do not store full card numbers.
- Subscriptions renew automatically each billing period until cancelled.
- Upgrades take effect immediately and are prorated; downgrades take effect when your usage fits the lower plan's limits.
- Fees are exclusive of taxes; you are responsible for applicable sales, use, or VAT amounts.
- Except where required by law, fees already paid are non-refundable. You can cancel at any time and keep access through the end of the paid period.
- We may change prices with at least 30 days' notice before your next renewal.
4. Plan limits and fair use
Each plan includes limits (for example, the number of active officers and properties). The platform enforces these limits and will block additions beyond them until you upgrade. We may throttle or suspend automated or excessive use that threatens platform stability.
5. Customer data and ownership
- You own the data you and your users submit (“Customer Data”), including incident reports, media, GPS points, and time records.
- You grant PatrolOS a limited licence to host, process, transmit, and display Customer Data solely to operate and support the service.
- We process Customer Data as your processor. See the Privacy Policy and Data Processing Addendum.
- You can export your data at any time while your subscription is active.
- After termination, we retain Customer Data for 30 days so you can export it, then delete or irreversibly anonymize it on our normal schedule.
6. Location tracking and employee monitoring
The platform records officer GPS location, on-site times, and shift punches. You are solely responsible for the lawfulness of that monitoring in your jurisdiction, including giving your workers any required notice and obtaining any required consent, and for complying with applicable labor, wage-and-hour, and privacy laws. PatrolOS provides tooling, not legal compliance.
7. AI features
Some features use AI models to draft narratives, summaries, and suggestions from your data. AI output can be incomplete or wrong. It is a drafting aid only: a qualified human must review and approve any report, summary, or decision before it is relied on, filed, or shared with a client or authority. You remain responsible for all content you publish from the platform.
8. Acceptable use
You must follow our Acceptable Use Policy. We may suspend accounts that violate it, create legal risk, or threaten the security of the platform or other customers.
9. Third-party services
The platform depends on third parties including hosting, database and authentication providers, payment processing, mapping and geocoding, and AI model providers. Their outages, changes, or terms may affect functionality. We are not responsible for third-party services you choose to connect.
10. Availability and support
We aim for high availability and perform maintenance with as little disruption as practicable, but the service is provided without a contractual uptime guarantee unless a separate written agreement says otherwise. Support is provided by email at angel18almanza@gmail.com.
11. No emergency service — critical disclaimer
PatrolOS is not an emergency service, alarm monitoring service, or life-safety system.
Panic buttons, man-down alerts, geofence alerts, and notifications route messages inside your own organization and depend on the internet, device permissions, battery, carrier networks, GPS accuracy, and third-party infrastructure. They may be delayed, degraded, or fail entirely. Never rely on PatrolOS to summon police, fire, or medical assistance. In an emergency, call your local emergency number (911 in the United States). You must maintain independent emergency and escalation procedures.
12. Disclaimer of warranties
Except as expressly stated, the service is provided “as is” and “as available”. To the maximum extent permitted by law we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, non-infringement, accuracy of GPS or AI output, and uninterrupted or error-free operation.
13. Limitation of liability
To the maximum extent permitted by law, neither party is liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost data, or business interruption. PatrolOS's total aggregate liability arising out of or related to the service is limited to the fees you paid to PatrolOS in the 12 months before the event giving rise to the claim. These limits do not apply to a party's liability that cannot be limited under applicable law.
14. Indemnification
You will defend and indemnify PatrolOS against third-party claims arising from your Customer Data, your use of the platform, your employee-monitoring or reporting practices, or your breach of these Terms or applicable law.
15. Suspension and termination
- You may cancel your subscription at any time from Settings → Billing.
- We may suspend or terminate access for non-payment, material breach, unlawful use, or security risk, with notice where practicable.
- On termination, your licence to use the platform ends and the data-retention terms in section 5 apply.
16. Changes to these Terms
We may update these Terms. Material changes will be announced in-app or by email before they take effect. Continuing to use the platform after the effective date means you accept the updated Terms.
17. Governing law and disputes
These Terms are governed by the laws applicable at PatrolOS's principal place of business, without regard to conflict-of-laws rules, and the parties submit to the exclusive jurisdiction of the courts located there. The parties will first attempt to resolve any dispute informally by contacting angel18almanza@gmail.com.
18. Miscellaneous
These Terms, together with the Privacy Policy, Acceptable Use Policy, and any Data Processing Addendum, are the entire agreement between the parties. If a provision is unenforceable, the rest remains in effect. Neither party may assign this agreement without the other's consent, except in a merger or sale of substantially all assets.
